The rules we design to
- — The name goes in a variable, not the copy. “Hello {{1}}” becomes the person’s actual name. A template opening with “Hello Sir” reads like a broadcast, because it is one.
- — Buttons, not instructions. Asking someone to type their requirement loses most of them. Quick-reply buttons turn a reply into one tap.
- — The image has to survive compression. WhatsApp re-encodes every image, and most of it is read on a phone in one hand. Three options at a readable size beat seven nobody can make out.
- — Send in waves, never the whole list. We start at a few hundred and watch the block and read rate before the rest goes. A bad template found at 500 recipients is a fix; found at 10,000 it is a quality-rating problem.
- — Frequency is the thing that gets numbers blocked. Most lists tolerate one or two marketing messages a month. Pushing weekly to hit a message quota is how a healthy number turns into a restricted one.
- — Say what it is. Dressing a promotional message up as a service notice raises the block rate, and blocks are what drag a quality rating down.
- — Somebody has to answer the replies. Quick-reply buttons produce responses within minutes. A campaign that fires on a Friday evening with nobody watching the inbox wastes the best window it will get.

How an engagement runs
Six stages, in this order. We do not skip ahead because a client is impatient — the sequence exists because each stage depends on the one before it.
Scope and use case
We start by asking what the messages are actually for. Order updates, appointment reminders, lead qualification and broadcast marketing need different template categories and carry very different costs. Getting this wrong at the start is expensive to unwind.
Meta Business Verification
Documentation prepared and submitted properly the first time. This is the step that stalls most setups, almost always because a document does not match the registered entity exactly. We send a checklist before starting.
Number registration
A number not currently active on WhatsApp is registered against the platform. If you are migrating an existing number, we plan the cutover so you are not unreachable during it.
Template drafting and approval
Templates written to match their category honestly and submitted for review. Marketing content filed as utility gets rejected, and repeated rejections affect account standing.
Flow and integration
Chatbot logic, agent routing and CRM or sheet integration. The goal is that a human joins the conversation at the moment automation stops being useful — not before, and not long after.
Monitoring and iteration
Quality rating, delivery and read rates watched weekly. Rating declines are recoverable if caught early and expensive if left, because template limits tighten as it falls.
The mistakes we see most often
Every one of these comes from an account or a site we have actually inherited. None of them are hypothetical.
Messaging people who never opted in
The fastest route to a restricted number. Meta enforces through quality rating, and rating falls the moment people block or report you.
Filing marketing as utility
Template categories are checked. Dressing a promotion as an order update gets it rejected, and repeated rejections affect account standing.
Broadcasting too often
Frequency fatigue shows up as blocks, blocks show up as quality decline, and quality decline shows up as reduced sending limits. The sequence is predictable and avoidable.
No human handover
Chatbots that trap customers in loops with no route to a person generate complaints, not conversions. Automation should hand over the moment it stops being useful.
Ignoring quality rating
It is visible in Business Manager and it moves before anything breaks. Watched weekly it is an early warning; ignored it becomes a suspension.

Template message
A pre-approved message format required to start a conversation outside the 24-hour service window.
Service window
The 24 hours after a customer messages you, during which replies are free and unrestricted.
Quality rating
Meta's health score for your number, driven by blocks and reports. Falling rating tightens sending limits.
Green tick
The official business account badge. Granted at Meta's discretion based on notability, never purchased.
Things clients ask before signing
Can I keep my current number?
Yes, if it is not active on WhatsApp Business or personal WhatsApp. If it is, that account must be deleted first and chat history does not migrate. Many businesses prefer registering a fresh number.
Is there a monthly platform fee?
Not from us. Our fee is one-time. Meta charges per message directly to your account, and rates depend on country and category.
How many agents can use one number?
As many as you need. That is the main operational reason businesses move from the app to the API.
Can we send images, PDFs and catalogues?
Yes — images, documents, location, buttons, list menus and product catalogues are all supported.
What if Meta changes pricing again?
It has happened before and will again — the July 2025 shift from conversation to per-message billing was significant. We flag changes as they are announced and adjust template strategy so cost does not drift.
